Overview

You may add a new client's profile to your database manually, or you may use for this purpose the Import Data Function.

The following tutorial shows how to create a client profile entity manually. You can also create clients profiles automatically importing them to your database. To learn more about importing your clients profiles to your database  go to the Importing Partners' Data article.

Manual Creation vs Import

It is recommended to create client profiles manually if you have a small number of clients (1-3). For larger number of the clients it would be more efficient to use the Import Data functionality.

Before Reading this Tutorial

  • The steps without any marking are mandatory to perform because they ensure carrying on a proper function of the Home Portal.
  • The steps marked with the (Optional) label give you information about settings useful for you in terms of fulfilling specific requirements for your projects, but if you skip them it will have no negative effect on the function of the Home Portal.

 

 

 

 

I. Add a New Client Profile

To add a new client to your Home Portal, perform the following steps:

 Sign in to the Home Portal of XTRF Platform.
 Click the Clients module icon.
 Click the +Create button.
 In the Name field provide the name of the client. The name must be unique and without any special characters. It is only used internally in the Home Portal and is invisible to your client.
 

In the Legal Name field provide the official name of the client. The Legal Name may be the same as the Name of the client with special characters. It is used in all documents generated by the Home Portal.

 

In the E-mail Address field provide the main contact address of your client.

Please bear in mind that the e-mail notifications are the prime form of contact in the Home Portal, therefore it is significant to provide the correct e-mail address.

 

From the Country drop-down menu select the country where your client is registered.

 

From the Branch drop-down menu select the branch of your company responsible for this client.

 The Individual checkbox:
  • Select the  checkbox if this is an individual client.
  • Leave the checkbox not selected if this client is a company.
 

Click the Continue button to add the client profile to your database.

 You have created a new client profile.

 

 

 

 

 

 

 

 


 

II. Add a New Contact Person

When your new client's profile is saved to your database it is strongly recommended to add a contact person to the client's profile as a second step. The Contact Person is required for most of the operations performed in the Home Portal. Specially when you are dealing with the corporate client the Contact Person is necessary for notifications related with the quotes or ready files delivery.

To add a Contact Person, perform the following steps:

 In the Client profile go to the Contact Person tab.
 

Click the  button . The Create Contact Person pop up window appears, in this window provide the basic information about the new contact person.

 In the First Name field provide the first name of the new contact person.
 (Optional) In the Last Name field provide the last name of the new contact person.
 

In the E-mail Address field provide the email address of the new contact person.

Please bear in mind that the e-mail notifications are the prime form of contact in the Home Portal, therefore it is significant to provide the correct e-mail address.

 (Optional) In the Phone field provide the phone number to the new contact person.
 

Click the Create button to add a new contact person to the client profile.

 

You have added a contact person to your client profile.

 

First Contact Person

With the Individual clients the first contact person is added automatically from the data provided when the client's profile is saved.
