Availability Requests Window

In this window you can set the set final date permitted for the providers to reply to the requests; allow partial acceptance, which means the providers can agree to undertaking only a portion of the activity and include any necessary files in the availability request. 

Requests Deadline

The final date permitted for the provider's response to this activity.

Manually enter the date in the appropriate date format set in System Configuration or click Calendar and select from the calendar.

Partial Acceptance

The option to allow the providers to undertake only a specified number of words and not the entire document.

    • To allow the providers the ability to accept only a part of the activity and not the entire activity, click on Allow Partial Acceptance When you click on this, additional options appear.

      Partial AcceptanceIn the additional options you can enter the word count of the source text and decide if you want XTRF to automatically divide the activity amongst the providers if there is not one provider capable of undertaking the entire task. 
      Total Number of Words

      The total number of words in the source material. 

      Enter a number into the field.

      After you enter a value and send the availability requests, a provider specifies from the Partner Zone the approximate number of words he/she can translate for this activity.

      Auto-split Activity if Needed

      The option to allow the system to automatically allocate the activity amongst the accepted providers.

        • Select the tickbox to have XTRF automatically divide the activity amongst the providers after the providers have specified the approximate number of words they are capable of translating for this activity.

          When XTRF splits the activity, the distribution of the activity's portions is based on the providers' word limits which were entered previously from the Partner Zone. For example, availability requests are sent to three providers for a translation of a document of 1000 words. The project manager permitted the providers to partially accept the activity and to specify how many source words each provider can approximately translate. All three providers partially accept and specify their word limits: Provider 1 can only translate 500 words, Provider 2 can only do 320 words and Provider 3 can only do 310 . The system then automatically divides the activity amongst the three providers and assigns a number of words to each provider: Provider 1 is responsible for 500 words, Provider 2 is responsible for 320 words and Provider 3 is responsible for 180 words, which is the remaining number of words from the activity.  

        • Deselect the tickbox to not have XTRF automatically allocate the activity amongst the accepted providers. The project manager must manually divide the activity amongst the accepted providers.

 

    • To forbid partial acceptance, click on Disable Partial Acceptance. When you click on this, the additional options disappear.
Recipients

The providers to whom the availability reports will be sent.

This field cannot be modified in this window. The recipients listed here were selected by either the filter or the project manager manually.

Attachment

A file included in the availability requests sent to the providers.

To upload a file, click New Add Files. Select the file from your computer.

When selected, the file appears below the button:

    • To remove a file, click Bin next to its name.
Send

Click to send the availability requests to the recipients.

CancelClick to terminate the availability request creation.
