The article presents the features available in the Premium plan of XTRF Language Business Platform. Please keep in mind that your access to the described options might be limited due to your license agreement. If you would like to change your plan of XTRF Language Business Platform and gain access to the additional features, contact your XTRF Customer Success Manager.

XTRF Language Business Platform enables you to visualize your data in the Home Portal. It helps you to present the results of your employees work, for example Project Managers or sales person, sum up your vendors activities, or track your clients orders. XTRF Platform provides the simple tables where you can set together your project data in one place, as well as  visualize them either on simple charts or on more complex ones. The default charts defined in the Home Portal are embedded from the Google charts, however the chart definition can be customized to your needs. Even more, you can generate your set of data to the user-friendly printed format or export it to the CSV file. The visualization is an easy and efficient way to tackle all activities in the Home Portal by transforming task names, start and end dates, durations into cascading horizontal bar charts.

The below guide shows you how to prepare a business report where you can get a summary of quote tasks versus sales person who manages them. The tasks are presented within quarter time slots.

Before Reading a Tutorial

  • The steps without any marking are mandatory to perform because they ensure carrying on a proper function of the Home Portal.
  • The steps marked with the (Optional) label give you information about settings useful for you in terms of fulfilling specific requirements for your projects, but if you skip them, it will have no negative effect on the function of the Home Portal.

 

 

I. Create a Business Report

This section presents you how to define a business report. In this guide you are going to create a set of quote tasks data per a sale person. To do so, perform the following steps:

 Sign in to the Home Portal of XTRF Platform.
 Click the Reports module icon. Your are redirected to the Business Reports display.
 Click the +Add button. Your are redirected to the Create Business Reports display.
 Provide the name of your business report in the Name field. For example, there is the Quote Tasks per Sales Person name in the picture.
 (Optional) Select the Preferred Item checkbox if this business report should be located on the top of all drop-down menus and selection lists in your Home Portal.
 

From the Report Type drop-down menu select one of the three available options:

  • Number: The report is organized by the quantity of the selected Data Type
  • Value: The report is organized by the financial amount of the selected Data Type
  • Relation: The report is organized by how the selected Data Type compares to the selected Related Data Type

In this guide the Number option is selected.

 

From the Data Type drop-down menu select the main category of information which is supposed to be included in your report. In the picture the Number of Quote Tasks option is selected.

 

Click the Save button. You have just created the Business Report.


II. Specify Your Data

When you have defined a report, you can customize the data specifying the details either for a table summary, or for a graphical representation of it. 

i. Customize Your Report

Below you can find an example how to add specifics to your report to make use of the data efficiently. The following steps guides you how to define the details of the data visualized horizontally and vertically:

 In the Reports module select the report you want to customize. In this tutorial the Quote Tasks per Sales Person report is selected.
 Click the Edit button.
 

(Optional) In the Report Definition tab select the column type from the Columns drop-down menu. In the below sample the Start Date and Time option is selected. Please notice that the Label field is filled in automatically within the Columns option.

Please note that the Columns options are arranged in the explorer tree area which means that some of them you can expand and select more specific options. For example, the Contact Person branch includes subbranches such as Position. If so, the Columns option is displayed accordingly: Contact Person, Position.

 

 

 (Optional) In the Label field provide the name which is going to appear on the Y axis on the graphical representation of the report, chart.
 (Optional) Select how the  data should be arranged in a timely manner from the Frequency Type drop-down menu. In the example below the Quarter option is selected.
 (Optional) Select how the column variables should be organized from the Sort Order drop-down menu. In the example below the Default ascending option is selected.
 

 (Optional) Select the row type from the Rows drop-down menu. In the below sample the Quote, Sales Person option is selected. Please notice that the Label field is filled in automatically within the Rows option.

Row Options

Please note that the Rows options are arranged in the explorer tree area which means that some of them you can expand and select more specific options. For example, the Quote branch includes subbranches such as Sales Person. If so, the Rows option is displayed accordingly: Quote, Sales Person.

 

 

 (Optional) In the Label field provide the name which is going to appear on the X axis on the graphical representation of the report, chart.
 (Optional) Select how the row variables should be organized from the Sort Order drop-down menu. In the example below the Default ascending option is selected.
 

Click the Save button. You have just prepared a customized report. See a sample of the business report below:

ii. Find the Chart Settings

In the Home Portal you can find the predefined diagrams based on the Google charts, however you can also experiment within you data to get the ideal appearance. To find the chart settings, Follow the steps below:

 In the Reports module select the report you want to customize. In this tutorial the Quote Tasks per Sales Person report is selected.
 Click the Edit button.
 Go to the Chart Settings tab.
 Select the chart which you want to display your data on. In the example below the Column Chart is selected. You are redirected to the display where the chart customization snippet is presented.
 

Click the Save button. You have just prepared the chart settings:

III. Generate Your Report

The final step is to put all data together in the report: within one-click you can get the data summary in a table or visualize the data graphical representation of it. Let's do it then!

 In the Reports module select the report you want to customize. In this tutorial the Quote Tasks per Sales Person report is selected.
 Click the Edit button.
 

Click the option depending what kind of report you want to display:

  • Generate button: Click it to create a table based on the report's information. The report is displayed in the pop-up window.
