The Files tab is where you can upload a vendor's finished files and mark the job as being finished or partially finished. If the ready files were pasted into the appropriate directory, you can also synchronize the files with the job's output files folder in order for the files to appear in this tab.   

You cannot upload input files from this tab. To upload the files the vendor needs for his/her assigned job, go to the Workflow Graph - Task - Project tab.

The file manager is where you handle the job's files. Here you can upload the vendor's finished file to the Output File folder and depending on if the file's bundles in strict mode, match the ready file to its corresponding input file.  

  • To view the content of a folder and to be able to perform such actions as downloading or uploading files, click on a folder in the left-hand column. The content of the folder appears in the right-hand column.
  • To move a file to a new bundle, drag and drop the file into the Output Files folder. A drop-down menu appears. Select the bundle to which the file will be moved or create a new bundle for the file. When you select "Create New", a new window appears.   • To copy an input file to the Output Files folder, drag and drop the file into the Output Files folder. In the drop-down menu, select "Copy". The file now appears in the Output Files folder.
  • If the bundle which contains the output file is in strict mode, you will need to match the uploaded output file to its corresponding input file.

    • An input file marked withUnmatched Filemust be matched to its corresponding output file. To match files, do the following:
      • Upload or copy the file to the Output Files folder.
      • In the Matching column, click on the drop-down list in the row of the desired file. In the drop-down list, select the input file which this output file matches.

         If the input file and its corresponding ouptut file have the same file name, the system automatically matches the files.

      • The matched output file is marked with Matched File

        If an input file and its corresponding output file have two different names, the matched file always takes the output file's name. For example, the input file's name is SourceDocument and its corresponding output file's name is SourceDocument2. After the files are matched, the matched output file's name is SourceDocument2.

Click to perform actions on a selected file.

To do so, select the desired file and then click the button. A drop-down menu appears.

The Selection drop-down menu contains actions which can be performed on input files.
Open in FTP

To open the selected file in the FTP server.

When you select this, a new browser with the FTP server appears.

This action is not available for multiple selected files.

Download as ZIPTo download the selected file or files as a zip file.
Download

To download the selected file.

This action is not available for multiple selected files.

Move to Bundle

To move the file to a different bundle in the workflow. Select the existing bundle to which the files will be moved.

To create a new bundle, select "Create". A new window appears. For a description of the window, click here: Create Bundle Window.

This action is not available when there is only one bundle in the workflow.

Synchronize

When you first paste the files directly into this job's correct directories and then select this, the files will appear in the Output Files folder.

  • This action is not performed on a selected file; however, you still must select a file to access this action.
  • This action is not available for multiple selected files.  
Download as ZIPTo download the selected file or files as a zip file.
Download

To download the selected file.

This action is not available for multiple selected files.

Upload

To upload a file to the selected directory in the Output Files folder.

When you select this, a new window appears. For a description of the window, go to the Upload File Pop-up Window article.

  • This action is not available for multiple selected files.
DeleteTo remove the selected file from the Output Files folder.
Move to Bundle

To move the file to a different bundle in the workflow. Select the existing bundle to which the files will be moved.

To create a new bundle, select "Create". A new window appears. For a description of the window, click here: Create Bundle Window.

Delete

To delete all uploaded files in the Output Files folder.

This action does not delete the input file which must be matched.

Move to Bundle

To move the uploaded files to a different bundle in the workflow. Select the existing bundle to which the files will be moved.

To create a new bundle, select "Create". A new window appears. For a description of the window, click here: Create Bundle Window.

Create Directory

To create a subdirectory for the Output Files folder.

When you select this, a new window opens. Enter a name for the new subdirectory and click .

Click to customise how entities will be displayed.

Click to move up a level in the folder structure.

Click to mark that the job is completed.

Depending on the configuration of the next job in the workflow, the system can start the next task when the previous job is finished.

To allow the proceeding workflow job to start automatically when the job directly before it is finished, go to Workflow Job > Job Starting - Workflow Job.

Click to mark that some but not all of the job is completed.

 Depending on the configuration of the next job in the workflow, the system can start the next task when the previous job is not completely finished.

To allow the proceeding workflow job to start automatically when the job directly before it is only partially finished, go to Workflow Job > Job Starting - Workflow Job.

When you first paste the files directly into this job's correct directories and then click this button, the files will appear in the Output Files folder.

Click to apply any modifications.
Click to terminate the modification process.
Click to return to this job's task.
