In the Main Data tab, you provide the essential details of the new quote, including the quote's unique name, customer, contact person and the sales person at your company.  
ID

The identification data number assigned to this quote.

  • The ID number is automatically generated by XTRF after you create the quote.
  • To modify the quote numbering scheme, go to Configuration > Templates > Numbering Schemes.
Name

A unique name for the quote.

Enter the text into the field.

Sales Person

The user at your company responsible for the quote.

Click on the drop-down list and select a user.

Account Manager

The account manager to be responsible for the customer.

Click on the drop-down list and select an account manager.

Project Manager

The project manager to be responsible for the project.

Click on the drop-down list and select a project manager.

Project Coordinator

The project coordinator who works on the project.

Click on the drop-down list and select a project coordinator.

Workflow

The specific workflow to be used for the quote.

Click on the drop-down list and select a workflow.

To create a workflow, go to Configuration > Workflows > Workflow Definitions.

Specialisation

A qualification such as a knowledge of medicine or law terms required for an activity in the quote to be performed.

Click on the drop-down list and select an item.

To create a specialisation, go to Configuration > System Values > Specialisations.

Created on

The date of the quote's creation.

When you create a quote, XTRF automatically enters the current date. If you want to set an earlier or later date, manually enter the date in the appropriate date format set in System Configuration or click  calendar  and select from the calendar.

This field is mandatory.


Offer Expiry

The date when the quote closes and an answer to the offer is no longer permitted.

Manually enter the termination date in the appropriate date format set in System Configuration or click calendar and select from the calendar.

Estimated Delivery Date

The supposed delivery date of the files to the customer.

Manually enter the date in the appropriate date format set in System Configuration or click calendar and select from the calendar.

Working Days

The estimated number of days needed to complete the potential project.

Enter a value into the field.

Automatically Accept Sent Quote

The automatic approval and conversion of the quote into a project after the quote's status changes to “Sent”.

    • To have the quote be automatically approved and converted into a project after its status changes to "Sent", select the tick box.

    • To not have the quote be automatically approved and converted into a project after its status changes to "Sent", deselect the tick box. The quote will need to be manually accepted.
Additional Fields

Supplementary information necessary for this quote, for example, the date and location of a spoken translation.

To have the additional fields be visible, select the tickbox.

Here you can enter extra information, such as when the translation should be started and completed.
Place of Event

The location of the event related to the quote.

Such information can be necessary for spoken translations.

Enter the text into the field.

Date and Time of Event

The date of the event related to the quote.

Such information can be necessary for spoken translations.

Manually enter the date in the appropriate date format set in System Configuration or click  calendar and select from the calendar.

Start Date and Time

The date when the quote should begin.

Manually enter the date in the appropriate date format set in System Configuration or click calendar  and select from the calendar.

Deadline

The date when the quote should be completed.

Manually enter the date in the appropriate date format set in System Configuration or click calendar and select from the calendar.

Customer

The customer for whom the quote is intended.

    • To select a customer, begin typing his/her name into the field and select the customer from the suggestions list. You can also choose a customer by clicking . When you click on this button, a window with the Customer Browse appears.
    • To create a new customer, click . When you click on this button, you are taken to a new page. For a description of the page, click here: Customer Create.

 

This field is mandatory.

Customer Price Profile

The customer's unique rates to be applied to this quote. If you have more than one set of rates for this customer you need to choose the required.

Click on the drop-down list and select the price profile.

Customer Project Number

The customer's own project number to be appended to the potential project.

Enter the information into the field.

Contact Person

The individual to whom the quote's notifications and ready files are to be sent.

    • To include more contact persons, click More. Additional fields appear.

      The recipients of the quote's notifications and ready files.

      Send Back to

      The individual to whom the quote's ready files will be sent.

      Click on the drop-drop down list and select a contact person.

      This field is mandatory.

      Additional Contacts

      Any other individuals to whom the emails related to the quote will be sent.

      Click the drop-drop down list and select a contact person. When selected, the contact person appears above the drop-down list:
        

        • To delete a selected contact, click .
        • To add all of the customer's available contact persons, click Add all.
        • To remove all of the selected contacts, click Remove all.
    • To create a new contact person for this customer, click  . When you click this, a new window appears. For a description of the window, click here: Contacts Management .

This field is mandatory.  


Categories

A classification to be applied to the quote which can help a user when locating a quote or creating a business report.

Click on the drop-down list and select an item. The category appears above the drop-down list:

    • To delete a selected item, click .
    • To add all categories, select Add all.
    • To remove all selected categories, select Remove all.

 To create a category, go to System > Configuration > System Values > Categories.  

Click to create the quote.
Click to terminate the quote creation.
