The Main Data tab contains the essential details of the job, including the job's name, unique ID number, assigned vendor and contact person of the vendor.
ID

The identification data number assigned to this job.

This field cannot be modified.  

Job Type

The general type of work for the selected job.

This field cannot be modified. To select another job type in this workflow or to create a new one, go to Jobs - Task - Project tab.


Job StatusThe current state of the job.
    • To transition to:
      • The first job status, click First Status.
      • The previous job status, click Transition Back.
      • The next job status, click Transition Forward.
      • The last job status, click Transition to Last Status.
    • To mark that this job will not be performed, click . The job changes to .
The job statuses are:
The job has not started yet.
The request notifications for this job were sent to the vendors, and the project manager is awaiting their responses.
The vendor agreed to perform the assigned job.
The job was undertaken by the responsible individual and is still in progress.
The job was completed by the responsible individual.
The job was voided by the project manager and is no longer needed for the task.

 Transition to First Status   and   Transition to Last Status   are only available for jobs which are not performed in a workflow.

Document Status

The current state of the purchase order.

To send the purchase order to the vendor, go to the Documents - Task - Project tab.

The document statuses are:
Not SentThe purchase order was not sent to the vendor.
SentThe purchase order was sent to the vendor.
Sent But ModifiedThe purchase order was sent to the vendor, but a payable for this job was modified afterwards. Therefore, the purchase order the vendor has is likely outdated, and the new purchase order needs to be sent to the vendor.
Language Combination

The language combination for which the task is to be performed.

This field cannot be modified.

Vendor

The vendor assigned to perform this job.

    • To select a vendor, begin typing a name into the field and then select the desired vendor from the list of suggested vendors. 
    • To search for a vendor, click . When you click on this button, a Vendor Browse window appears.
    • To assign the job to the vendor account linked to the currently logged-in user, click .

      To link a vendor account to a user, go to Configuration > User Management > Users. After locating the desired user, select the In-house Job tab.

    • To remove the vendor from the job, click . If you have recalculated the rates earlier, this does not restore the original rates for the payables.
    • If you have selected a vendor,
      • Click the vendor's name to view their main details. When clicked, a new window appears.
      • Click Browse FTP to view that vendor's FTP server, vendor that the server is outside of your local network. 

You can only change a vendor if the job status is . If the job status is , , or  but the vendor cannot complete the assigned job, click Transition to First Status or Transition Back until the job status is .

Price Profile

The vendor's price profile which contains the vendor's specific rates for certain language combinations and job types.

Click  to have the rates and currency from the selected price profile be applied to any existing payables and then have the payables be recalculated.

Contact Person

The individual to whom the job's notifications and related files will be sent.

    • Click on the drop-down list and select a contact person.
    • To create a new contact person, click . When you click on this button, a new window appears. For a description of the tabs in the window, click here: Contacts Management - Vendor.
Start Date and Time

The supposed date the job is to begin.

Manually enter the date in the appropriate date format set in System Configuration or click   Calendar and select from the calendar. 

This field is mandatory.

Deadline

The final date permitted for the completion of the job.

Manually enter the date in the appropriate date format set in System Configuration or click Calendar   and select from the calendar.

This field is mandatory.


 

For the Actual Start Date and Actual Delivery Date fields, the color of the text signifies the punctuality in which the task was either started or completed in relation to the dates set in Start Date and Deadline. By default, the color of the fields are:

Green The task was started or completed before the date set in Start Date or Deadline .
Orange The task was started or completed late but still within one working day of the date set in Start Date or Deadline .
Red The task was started or completed one or more working days later than the date set in Start Date or Deadline .
  • To modify the coloring scheme (e.g. to set the number of hours for the Orange color), go to Configuration > General Configuration > Advanced Configuration > Dashboard.
  • To set the hours for a working day, go to Configuration > General Configuration > Advanced Configuration > Defaults .  
Actual Start Date

The date when the job really began.

 You cannot manually modify this field. The date is automatically entered by the system when the job status changes to   .

Actual Finish Date

The date when the status of the job was changed to  and the job finished.

Manually enter the date in the appropriate date format set in System Configuration or click Calendar and select from the calendar.

 The field is automatically updated after the job status is changed to .

Click to return to this job's task.
