The Main Data tab contains the essential details of the project, including the project's unique name, client, contact person and the sales person responsible for the project.
  • The three left-hand panels and their respective buttons appear for all the tabs but will only be discussed on this page.
  •  If you have made any modifications in this tab or the other tabs, be sure to click  before leaving the page. If not, the modifications will be lost.
Project Tree

The structure of the project. In this image, the first folder is the overall quote, and directly underneath the quote folder is a language combination. Below the language combination folder is its task.

    • When you click on an item's name, you are taken to that item's display page.
    • To edit an item, click . When you click this, you are taken to that item's display page.
    • To delete an item, click . A confirmation window appears. Confirm your decision.

You can only delete a language combination if that language combination does not have any tasks.  

Click either this button or  next to the overall project to add a new language combination.

Click to modify multiple items at once.

When you click on this, you are taken to a new page. For a description of the page, click here: Multiple Change.

Click either this button or  next to the language combination for which the task is to be created.

When you click on one, you are taken to a new page. For a description of the page, click here: Create Task.

Click to duplicate an existing task in the project and also configure what information is reproduced.

When you click on this button, you are taken to a new page. For a description of the page, click here: Copy Task.

Click to begin all workflows included in this project which have not been started yet.

Before you can automatically start all workflows, you first must select the vendors for each task or include an automated job action such as "Requests Sending" in the workflow.

Instead of manually uploading files for each task, you can paste the files directly in the correct XTRF directories and then click this button . The files will then be automatically matched to their appropriate task.  
Tasks

A list of all the tasks included in this project.

    • When you click on a task's name, you are taken to the task's display page.
    • To edit a task, click  . When you click this, you are taken to that task's display page. For a description of the display, click here: Task Display - Project.
    • To delete a task, click  . A confirmation window appears. Confirm your decision.

Actions which you can apply to either one or multiple tasks.

Deliver Files

To send the ready files of the selected task to the client.

To send the ready files of all this project's tasks to the client.

Multiple Change

Click to modify multiple items at once.

Click to create a new task and select for which language combination it will be performed.

Jobs

A list of all the jobs included in this project.

Main Data
ID Number

The identification data number assigned to this project.

  • This field cannot be modified.  
  • To modify the numbering schemes used for projects, go to Configuration > Templates > Numbering Schemes.
Name

The unique name of the project.

Enter the text into the field.

Quote NumberThe number of the quote corresponding with this project.
Status

The current state of the project.

    • To terminate a project, click .
    • To mark a project as being finished, click .
  • The project statuses are:

    OpenThe project was not started or is still in progress.
    ClosedThe entire project was completed, and the vendors and clients do not need to perform any further activities.
    CancelledThe project was terminated by the project manager, and all tasks were voided.
  • A project is automatically reopened whenever one of the following actions is performed:
    • Adding a new receivable.
    • Adding a new task.
    • Adding a new workflow job.
    • Adding a new job.
    • Reverting at least one receivable's status.
    • Reverting at least one job's status.
Project Manager

The person at your company responsible for the project.

To select a different project manager, click . When you click on this, a new window appears. For a description of the window, click here: Change Project Manager.

Workflow

The specific workflow to be used in the project.

Click the drop-down list and select a workflow.

To create a workflow, go to Configuration > Workflows > Workflow Definitions.  

Specialisation

A qualification such as knowledge of medicine or law terms required for an job in the project to be performed.

Click on the drop-down list and select an item.

To create a specialisation, go to Configuration > System Values > Specialisations.

Created on

The date when the project has been created.

Manually enter the date in the appropriate date format set in System Configuration or click Calendar and select from the calendar.

This field is mandatory.  

Start Date and Time

The date when the entire project is to begin.

Manually enter the date in the appropriate date format set in System Configuration or click Calendar and select from the calendar.

This field is mandatory.  

Deadline

The date when the entire project is to be completed.

Manually enter the date in the appropriate date format set in System Configuration or click Calendar and select from the calendar.

 This field is mandatory.


 

For the Actual Start Date and Actual Delivery Date fields, the color of the text signifies the punctuality in which the project was either started or completed in relation to the dates set in Start Date and Deadline . The color of the fields are:

Green The project was started or completed before the date set in Start Date or Deadline .
Orange The project was started or completed late but still within one working day of the date set in Start Date or Deadline .
Red The project was started or completed one or more working days later than the date set in Start Date or Deadline .

To set the hours for a working day, go to   Configuration > General Configuration > Advanced Configuration > Defaults .  


Actual Start Date

The date when the project really began.  

You cannot manually modify this field. The date is automatically entered by the system.


Actual Delivery Date

The date when the statuses of all task receivables were changed to , the statuses of the final job in all tasks were changed to  and all tasks closed.

Manually enter the date in the appropriate date format set in System Configuration or click Calendar and select from the calendar.

  • For tasks which do not include a workflow, the field is automatically updated after you change the receivable status to in the Receivables tab and the job status to in the Jobs tab.  
  • For tasks which include a workflow, the field is automatically updated after the receivable status is changed to and the final job in the task is changed to .
  • If you deselect "Notify Client" in the Task Output before the task starts and select "Deliver Files" or "Deliver All Files" in the Tasks tab in the left-hand panel after the task is finished, the date here will be updated. The new date represents when the files were sent to the client.
Additional Fields

Supplementary information necessary for this project, for example, the date and location of a spoken translation.

To have the additional fields be visible, select the tickbox.

Additional FieldsHere you can enter extra information, such as when the translation should be started and completed.
Place of Event

The location of the event related to the project.

Such information can be necessary for spoken translations.

Enter the text into the field.

Date of Event

The date of the event related to the project.

Such information can be necessary for spoken translations.

Manually enter the date in the appropriate date format set in System   Configuration or click Calendar and select from the calendar.

 

 

Client

The client for whom the project is intended.

    • To select a client, begin typing his/her name into the field and select the client from the suggestions list. You can also choose a client by clicking . When you click on this button, a window with the Client Browse appears.
    • To create a new client, click . When you click on this button, you are taken to a new page. For a description of the page, click here: Client Create.
    • Click Browse FTP to view the client's FTP server, provided that the server is outside of your local network.
Client Price Profile

The client's unique rates to be applied to this project.

Click on the drop-down list and select the price profile.

When you modify a project and change the price profile, click  if you want all of the existing rates to be recalculated in accordance with the rates listed in the selected price profile. If you select a new price profile but do not click this button, the existing rates will remain unchanged.

Client PO Number

The client's own Purchase Order number to be appended to the project.

Enter the information into the field.

Contact Person

The individual to whom the project's notifications and ready files are to be sent.

    • To include more contact persons, click More. Additional fields appear.

      The additional recipients of the project's notifications and ready files.

      Send Back to

      The individual to whom the project's ready files will be sent.

      Click the drop-down list and select a contact person.

        • To have the selected contact person be the Send Back to individual for  all of the project's tasks, select the Change in All Tasks tickbox.  

      This field is mandatory.

      Additional Contacts

      Any other individuals to whom the notifications related to the project will be sent. An additional contact will also receive a copy of the notification about the project's ready files.

      Click the drop-down list and select a contact person. When selected, the contact person appears above the drop-down list:

        • To delete a selected contact, click .
        • To add all of the client's available contact persons, click Add all.
        • To remove all the selected contacts, click Remove all.
        • To have the selected contact person be the Additional Contacts for all of the project's task, select "Change in All Tasks".
    • To create a new contact person for this client, click . When you click this, a new window appears. For a description of the window, click here: Contacts Management.
    • To have the selected contact person be the Contact Person for all of the project's tasks, select "Change in All Tasks".

This field is mandatory.

Categories

A classification to be applied to the project which can help a user when locating a project or creating a financial report.

Click on the drop-down list and select an item. The category appears above the drop-down list:

    • To delete a selected item, click .
    • To add all categories, select Add all.
    • To remove all selected categories, select Remove all.

To create a project category, go to Configuration > System Values > Categories.

Click to modify.

Click to save any modifications.

Click to view a detailed overview of the entire project.

When you click on this, a new window appears.  

Click to terminate the modification process.
