Main Data Provider Multiple ChangeIn the Main Data tab, you can perform such actions as setting a status and category to your providers, allowing access to and configuring the Partner Zone, assigning them to a group and selecting the default payment terms.
 
  • To have the system ignore specific information in the modification process, select the Do Not Change radio button for a given field. The information represented in the field will not be modified.
  • To modify a field, first select the Set radio button and then make any necessary changes. The providers' existing information represented in the field will be overwritten.
  • To add an item to the existing information the providers have, first select the Add radio button and then include the new item. The providers' existing information represented in the field will not be overwritten.
  • To delete existing items from the providers' profiles, select the Remove radio button and then select the items you want to dissociate from the providers.
Branch

The department, affiliate, subsidiary or regional office of your company for which the providers perform services. A branch's ideal purpose is to serve as an organisational tool because you associate users and partners to it. Whenever you want to quickly locate such information as a specific quote, project or report, simply select the related branch.

Click on the drop-down list and select your branch.

  • To create a branch, go to System > Configuration > System Values > Branches. 
Status

The current status of the providers.

Click on the drop-down list and select the status.  

Freelancer / Individual

The nature of the providers.

    • Select the tickbox if the providers are individual persons.
    • Deselect the tickbox if the providers are companies.
SMS Enabled

The providers' preferences to receiving SMSes.

    • Select the tickbox to have SMSes sent to the selected providers.
    • Deselect the tickbox to not have SMSes sent to the selected providers.
Categories

A label used to categorise providers. For example, you create categories which represent a provider's cost or efficiency.

Click on the drop-down list and select a category. The category appears above the drop-down list:
Category Entry

    • To delete a selected category, click Delete Icon.
    • To add all the available categories from the drop-down list, click Add all .
    • To remove all selected categories, click Remove all .

To create a category, go to System > Configuration System Values > Partner Categories.

Country

The country, and if applicable, the state or province where the providers reside.

Select the country and if applicable, the state or province from the drop-down list.

  • To enter a country into the system, go to System > Configuration > System Values > Countries.
  • To enter a state or province into the system, go to System > Configuration > System Values > States & Provinces.


CAT

The list of CAT Tools the providers have.

    • To add a CAT tool, select the CAT tool from the Available Items list. To select multiple CAT tools, hold the Ctrl key while selecting the items. After selecting the CAT tool(s), click Add to add the item(s) to the Selected Items list.
    • To add all CAT tools from the Available Items list to the Selected Items list, click Add All.
    • To remove a CAT tool from the Selected Items list, click Remove.
    • To remove all CAT tools from the Selected Items list, click Remove All.
    • To quickly add or remove an item from a list, simply double click on the item. For example, if you double click on an item in the Available Items list, the item will now appear in the Selected Items list.

To create a CAT tool item, go to System > Configuration > System Values > CAT tools.

Software

The software the providers have. This information is particularly useful for avoiding compatibility issues between you and the selected providers.

    • To add software, select the software from the Available Items list. To select multiple software, hold the Ctrl key while selecting the items. After selecting the software, click Add to add the item(s) to the Selected Items list.
    • To add all software from the Available Items list to the Selected Items list, click Add All.
    • To remove a software from the Selected Items list, click Remove.
    • To remove all software from the Selected Items list, click Remove All.
    • To quickly add or remove an item from a list, simply double click on the item. For example, if you double click on an item in the Available Items list, the item will now appear in the Selected Items list.

To create a software item, go to System > Configuration > System Values > Software.

Hardware

The hardware the providers have.

    • To add hardware, select the hardware from the Available Items list. To select multiple hardware, hold the Ctrl key while selecting the items. After selecting the hardware, click Add to add the item(s) to the Selected Items list.
    • To add all hardware from the Available Items list to the Selected Items list, click Add All.
    • To remove a hardware from the Selected Items list, click Remove.
    • To remove all hardware from the Selected Items list, click Remove All.
    • To quickly add or remove an item from a list, simply double click on the item. For example, if you double click on an item in the Available Items list, the item will now appear in the Selected Items list.

To create a hardware item, go to System > Configuration > System Values > Hardware.

VAT Rate

The consumption tax rate to be applied to the providers' charges.

Click on the drop-down list and select a VAT rate.

To create a VAT rate, go to System > Configuration > System Values > VAT Rates.

Specific Rights Group

The group to which your providers will be assigned . Each group can have unique rights in XTRF, such as access to certain areas in the system.

Click the drop-down list and select the group.

To create groups and configure a group's rights, go to System > Configuration > Partner Management > Partner Groups - Rights.  

Partner Zone Login Allowed

Access to the Partner Zone.

    • To allow access to the Partner Zone, select the tickbox.
    • To prohibit the selected providers from accessing the partner zone, deselect the tickbox.
Preferred Interface Language

The language which information will be displayed in the Partner Zone.

Click on the drop-down list and select the language.

First Project Date

The date of the providers' initial project.

Manually enter the date in the appropriate date format set in System Configuration into the field or click Calendar and select from the calendar.

Acceptance of Terms

The date when terms were accepted by the providers.

    • Manually enter the date in the appropriate date format set in System Configuration into the field or click calendar and select from the calendar.
    • To mark the terms as unaccepted, select the Set as Not Accepted tickbox.
Default Payment Terms

The payment requirements automatically suggested by the system whenever you select the providers for new activities. For example, you are to pay the providers invoices in installments instead of single, full payments.  

Click on the drop-down list and select the item.

  • You can only select global payment terms (i.e. payment terms which are available for all providers). If a provider has a unique payment terms which you created for him/her in the Payment Terms tab in his/her Provider Display, you cannot select it here.
  • To create a global payment terms item, go to System > Configuration > Advanced Configuration > Provider > Payment Terms.
Invoice Provider's Activities

 The ability to create invoices for the providers' finished work.  

    • To be able to create invoices for the selected providers' finished activities, select the tickbox. This procedure is most commonly used for external or freelance providers.
    • To not be able to create invoices for the selected providers' finished activities, deselect the tickbox. This procedure is most commonly used for internal providers.
Time Zone

The time zone where the providers reside.

Click on the drop-down list and select the time zone.

CC in E-mails to Contact Persons

Carbon copies of emails generated in XTRF are sent to the providers' respective contact persons.

    • To have carbon copies sent to the contact persons, select the tickbox.
    • To not have carbon copies sent to the contact persons, select the tickbox.
