The Main Data tab contains the essential details of the task, including the task's name, unique ID number, client and contact person.
  • If you see the following message:

ID Number

The identification data number assigned to this task.

This field cannot be modified.  

Name

The unique name of the task.

Enter the text into the field.

By default, the name of the task is the same as the quote's name.  

Status

The current state of the task.

  • To terminate task, click
  • To mark a task as completed, click
  • The Task statuses are:

    OpenedThe task was not started or is still in progress.
    ClosedThe task was completed, all jobs from this task are ready.
    CancelledThe task was terminated by the project manager, and all jobs were voided.

 

  • A task is automatically reopened whenever one of the following actions is performed:
    • Adding a new receivable to the task.
    • Adding a new workflow job.
    • Adding a new job.
    • Reverting at least one receivable's status.
    • Reverting at least one job's status.
Language Combination

The language combination for which the task is to be performed.

This field cannot be modified.

Specialization

A qualification such as knowledge of medicine or law terms required for a job in the task to be performed.

To select a new specialization, click . A new window with appears. Select the specialization from the drop-down list.

  • By default, the specialization is the same as the one selected for the project.  
  • To create a specialization, go to Configuration >System Value > Specializations  .
Project Manager

The user at your company responsible for this task.

To select a different project manager, click . When you click on this, a new window appears.

In the Change Project Manager window you can select a new project manager to be responsible for the selected task. You can also manage any of task's reminders which were sent earlier to the past project manager.

Project Manager

The project manager responsible for the project.

Click the drop-down list and select a new project manager.

Existing Reminders

The management of any existing notifications related to the entire project.

To leave the past reminders in the previous project manager's CRM, select "Do Not Change". Duplicate reminders will not be created for and sent to the new project manager.

To delete the past reminders from the previous project manager's CRM, select "Remove".

To delete the past reminders from the previous project manager's CRM and to create and send duplicate reminders to the new project manager, select "Remove and create for selected user".

Click to set the new project manager.
Click to terminate the new project manager selection.
Workflow

The specific workflow to be used in the task.

  • This field cannot be modified.
  • To create a workflow, go to Configuration > Workflows > Workflow Definitions.  
Start Date and Time

The supposed date the task is to begin date.

Manually enter the date in the appropriate date format set in System Configuration or click Calendar and select from the calendar.

This field is mandatory.


Deadline

The final date permitted for the completion of the task.

Manually enter the date in the appropriate date format set in System Configuration or click Calendar and select from the calendar.

This field is mandatory.

Sent on

The date when the ready files were sent to the client and the status of the task receivable was changed to "Sent".

Manually enter the date in the appropriate date format set in System Configuration or click Calendar and select from the calendar.

  • For tasks which do not include a workflow, the field is automatically updated after you change the receivable status to Sent in the Receivables - Task - Project tab.
  • For tasks which include a workflow, the field is automatically updated when you have Notify Client selected in the Workflow Graph and after all the files were accepted. If you deselected “Notify Client” and manually send the files, then the date must be entered manually.
 

For the Actual Start Date and Actual Delivery Date fields, the colour of the text signifies the punctuality in which the task was either started or completed in relation to the dates set in Start Date and Deadline. The colour of the fields are:

Green

The task was started or completed before the date set in Start Date or Deadline.

Orange

The task was started or completed late but still within one working day of the date set in Start Date or Deadline.

Red

The task was started or completed one or more working days later than the date set in Start Date or Deadline.

To set the hours for a working day, go to Configuration > General Configuration > Advanced Configuration > Defaults.  

Actual Start Date and Time

The date when the task really began.  

You cannot manually modify this field. The date is automatically entered by the system.

Actual Delivery Date and Time

The date when the status of the task receivable was changed to Sent, the status of the final job in the task was changed to Ready and the task closed.

Manually enter the date in the appropriate date format set in System Configuration or click Calendar and select from the calendar.

  • For tasks which do not include a workflow, the field is automatically updated after you change the receivable status to Sent in the Receivables - Task - Project tab and the job status to Ready in the Jobs - Task - Project tab.  
  • For tasks which include a workflow, the field is automatically updated after the receivable status is changed to Sent and the final job in the task is changed to Ready.
  • If you deselect "Notify Client" in the Task Output before the task starts and select "Deliver Files" or "Deliver All Files" in the Tasks tab in the left-hand panel after the task is finished, the date here will be updated. The new date represents when the files were sent to the client.
Actual Close Date

The date when the status of the task receivable was changed to Sent, the status of the final job in the task was changed to Ready and the task closed.

  • You cannot manually modify this field. The date is automatically entered by the system.
  • This field does not update.


Additional Fields

Supplementary information necessary for this task, for example, the date and location of a spoken translation.

To have the additional fields be visible, select the tickbox.

Here you can enter extra information, such as when the task should be started and completed.
Place of Event

The location of the event related to the task.

Enter the text into the field.

Date of Event

The date of the event related to the task.

Manually enter the date in the appropriate date format set in System Configuration or click Calendar and select from the calendar.

Purpose of Translation

The reason behind the task.

Enter the text into the field.

Target Audience

The audience for whom the result of task was intended.

Enter the text into the field.

Style

A distinctive characteristic made in the result the task, such as a formal register.

Enter the text into the field.

Client

The client for whom the task will be performed.

This field cannot be modified. To change the client, go to Main Data - Project  and select a new client. The new client will automatically be entered for all the other language combinations and tasks.

Client Task PO Number

The client's Purchase Order number to be appended to the task.

Enter the information into the field.

Contact Person

The individual to whom the task's notifications and ready files are to be sent.

To include more contact persons, click More. Additional fields appear.

The additional recipients of the task's notifications and ready files.

You can further specify which receivables will be sent to each contact person. To do so, go to the Documents tab and click  of the desired receivable. Include the desired recipients for the receivables to be sent.

Send Back to

The individual to whom the task's ready files will be sent.

Click the drop-down list and select a contact person.

This field is mandatory.  


Additional Contacts

Any other individuals to whom the emails related to the task will be sent. An additional contact will also receive a copy of the notification about the project's ready files. 

Click the drop-down list and select a contact person. When selected, the contact person appears above the drop-down list:


    • To delete a selected contact, click .
    • To add all of the client's available contact persons, click Add all.
    • To remove all of the selected contacts, click Remove all.

 This field is mandatory.

Categories

A classification to be applied to the task which can help a user when locating a task or creating a financial report.

Click on the drop-down list and select an item. The category appears above the drop-down list:

    • To delete a selected item, click .
    • To add all categories, select Add all.
    • To remove all selected categories, select Remove all.

To create a task category, go to Configuration > System Values > Categories.

Click to modify.
Click to apply the modifications.
Click to terminate the modification process.
