The Receivables tab is where you add the individual charges to the client for each of the task's jobs and if necessary, include or remove any discounts and/or surcharges. Also, here you can override the minimum charge defined in the client's price profile and use the task's lower total value instead.

A receivable details how the charge of a specific job will be calculated. Therefore, each job generally requires its own receivable. For example, if a project manager has a task which contains the jobs translation and proofreading and the financial information of the jobs is not the same, two receivables would need to be created.

Receivables Amount

The total amount of all receivables.

 The amount cannot be manually modified.

CAT Receivables Amount

The total amount of all CAT receivables.

 The amount cannot be manually modified.

Total Value

The total amount of all receivables and CAT receivables.

The amount cannot be manually modified.

Minimum Charge

The lowest cost allowed by your company for a task to be undertaken. The minimum charge is defined in the client's price profile.

    • If the total agreed for this task is lower than the minimum charge defined in this client's price profile but you want to have the lower amount take precedence, select the Ignore tickbox.
    • If you select both the Ignore tickbox in Minimum Charge and the Auto-calculate Total Agreed tickbox, XTRF automatically enters the total amount for all the receivables, applying any discounts and/or jobs discounts and/or surcharges to to the total value as well.
    • If you select the Ignore tickbox in Minimum Charge but deselect the Auto-calculate Total Agreed tickbox, the minimum charge is still present in the Total Agreed field, but the field is now unlocked and can be modified.

The minimum charge of this client's price profile cannot be modified in this tab. To do so, go to the client's Rates - Client tab, select the price profile from the drop-down list in Name and then click . For a description of the edit window, click here: Basic - Edit Price Profile.

Discount / Surcharge

Additional amounts to be deducted from or added to the total value.

To include any discounts or surcharges or to remove one included in the client's price profile, click . When you click on this button, a window appears. For a description of the window, click here: Discounts / Surcharges Window - Client.

Discounts and/or surcharges defined in the client's price profile are included automatically.

Auto-calculate Total Agreed

Select to have the total agreed amount for all the receivables in the task be automatically calculated by XTRF. The automatic calculation includes the total value of the receivables and any discounts and/or surcharges to be applied.

When you select the tickbox, the field for Total Agreed cannot be manually edited.

Total Agreed

The total amount of the total value plus any applicable discounts and/or surcharges for all the receivables in the task.

The cannot be modified if you have selected the tickbox for Auto-calculate Total Agreed. To be able to manually enter an amount, deselect the tickbox for Auto-calculate Total Agreed.

    • When you scroll over a receivable, a summary of the receivable appears in the Receivables Display Panel.

       

      You cannot modify information in the Receivables Display Panel. To modify a receivable, go to the table and click .

    • Use the buttons  or  to arrange the order of the individual receivables in the confirmation sent to the client.
    • To transition to:
      • The first job status, click First Status .
      • The previous job status, click Transition Back .
      • The next job status, click Transition Forward .
      • The last job status, click Transition to Last Status .

        The receivable is not ready and needs to be prepared accordingly.
        A user at your company was appointed to enter all necessary information for a given receivable.
        The receivable is complete and can be sent to the client.
        The receivable was delivered to the client.
        The receivable was voided by the project manager, and its Total Value amount will not be applied to the task's Total Agreed amount.

         

    • To edit a receivable, click . When you click on this, a window appears. For a description of the window, click: Task Receivable / Task CAT Receivable / Add CAT Receivable Using an External System. Which window appears depends on the type of CAT Receivable you want to edit.
    • To delete a receivable, click .

Click to add a receivable.
